Job Summary
The Project Coordinator provides project, administrative, and grant management support for CIR's Sudan Witness project in Kampala. This coordinator tracks project deliverables, assists with Monitoring, Evaluation, and Learning (MEL), monitors grantee spend reports and budgets, coordinates events, and manages travel logistics and English-Arabic translation pipelines.
Key Roles & Operational Responsibilities
1. Project Coordination, Delivery & Grant Administration
- Deliverable Tracking: Support the Project Manager in maintaining project plans, tracking progress against milestones, and rapidly escalating bottlenecks.
- MEL & Progress Monitoring: Collect Monitoring, Evaluation, and Learning (MEL) data, manage survey distributions, and track project output metrics.
- Sub-Grant Management: Review grant budgets, narrative reports, payment requests, and spend reports from external civil society grantees; track partner activities and schedule progress reviews.
- Financial & Risk Support: Generate spending reports, build budget forecasts, track team timesheets/expenses, and evaluate project risks alongside mitigation plans.
- Onboarding & Workflow Systems: Facilitate contractor/grantee onboarding processes, maintain group calendars, manage digital storage/communication channels, and organize Arabic-to-English (and vice versa) translation tasks.
2. Events, Logistics & Stakeholder Liaison
- Event & Workshop Management: Organize logistics, venue setups, and material distribution for capacity-strengthening workshops, conferences, and skills-sharing sessions with Sudanese NGO partners.
- Travel Operations: Coordinate travel logistics, including flight bookings, local ground transportation, train tickets, and hotel reservations.
- Vendor Management: Serve as the primary point of contact for external vendors and suppliers in Kampala and during staff field deployments.
Foundational Capabilities & Prerequisites
Required Qualifications & Experience
- Domain Baseline: Experience (professional or voluntary capacity) within human rights, international development, peacebuilding, humanitarian, or charity sectors.
- Core Capabilities: Proven track record in project coordination and grant management / sub-grant administration.
- Logistics & Events: Demonstrated experience planning workshops, events, and managing complex travel/vendor logistics.
- Language Proficiency: Fluency in English (written and spoken) with exceptional communication, writing, and time-management skills.
Highly Desired Qualifications
- Fluency or working proficiency in the Arabic language.
- Contextual knowledge of Sudan (geopolitical dynamics, civil society network, human rights landscape).
- Familiarity with open-source research (OSINT) principles and multi-stakeholder collaboration (civil society, development partners, government entities).
