Job Summary
The Import/Export Operations Trainee supports air, ocean, and road freight documentation at DHL Global Forwarding in Kampala. Requisition AV-365910 involves data entry, reconciling shipping documents, setting up master data, filing customs entries, and updating customer part lists.
Key Roles & Operational Responsibilities
1. Freight Documentation & Data Entry
- Document Processing: Receive, reconcile, consolidate, and review shipping and customs documentation to ensure completeness prior to authority submission.
- System Master Data Setup: Perform routine data entry into DHL operating systems, setting up transaction master data and updating customer part lists.
- Paperwork Screening: Screen import/export paperwork, identify missing information or routine discrepancies, and update operational documentation accordingly.
2. Back-Office Operations & Compliance
- Archiving & Filing: Execute systematic physical and digital filing of import/export customs entries, shipping manifests, and clearance paperwork.
- Administrative Tasks: Carry out core back-office duties, including scanning, document archiving, file preparation, and basic reporting.
- Issue Escalation: Identify routine operational or documentation errors and escalate recurring issues to the Operations Supervisor for guidance.
3. Team Support & Performance Tracking
- Report Drafting: Collect daily operational data to draft performance updates, helping the wider freight forwarding team monitor service delivery.
- Team Communication: Collaborate closely with immediate team members, communicating routine task-related information clearly and maintaining positive working relationships.
Foundational Capabilities & Prerequisites
Required Qualifications & Educational Background
- Educational Baseline: Vocational, Technical, or Specialized Certification/Diploma (in Logistics, Supply Chain, Customs Freight Forwarding, Business Administration, or a related discipline).
- Experience Level: Less than 2 years of professional workforce experience (entry-level / trainee position).
- Computer & Administrative Competencies:
- Fast and accurate data entry skills with high attention to detail.
- Proficiency in basic office software (Microsoft Office, email, PDF management tools).
- Ability to learn proprietary logistics and freight operational software quickly.

- Strong organizational skills for handling large volumes of paperwork.
- Clear verbal and written communication skills in English.
