Job Summary
The Credit Control Officer – Trainee supports revenue collection workflows, generates customer invoices and statements, and conducts debtor account reconciliations. This professional interfaces directly with clients to resolve billing issues, monitors payment delays, and helps execute formal debt recovery actions under the guidance of the Financial Controller.
Key Roles & Operational Responsibilities
1. Revenue Collection & Debtor Communications
- Liaise directly and professionally with corporate credit clients to facilitate timely invoice settlements and minimize payment delays.
- Issue formal payment reminders, demand notices, and updated account statements systematically to reduce the company's Days Sales Outstanding (DSO).
- Handle routine incoming client inquiries, address billing disputes, and assist in negotiating structural payment plans for overdue accounts.
2. Transaction Processing & Reconciliation Architecture
- Ensure all credit invoices, official receipts, payment notices, and monthly statements are accurately generated and sent out on time.
- Conduct regular, accurate ledger reconciliations matching direct customer invoices against real-time banking deposits and collections.
- Collaborate closely with the Customer Service and Sales departments to investigate account discrepancies and resolve credit-related system issues.
3. Administrative Support & Governance Compliance
- Prepare accurate, routine accounts receivable tracking logs and aging debtor summaries for review by the Financial Controller.
- Help implement and document standardized corporate debt recovery workflows and internal credit control guidelines.
- Uphold professional compliance standards during client interactions, ensuring alignment with RamcoGas’s core operational values and customer service benchmarks.
Foundational Capabilities & Prerequisites
Required Technical Profile & Experience
- Academic Foundation: Recent university graduate holding a Bachelor’s degree in Accounting, Finance, Commerce, Business Administration, or a closely related quantitative field.
- Technical Literacy: Foundational familiarity with basic accounting principles, double-entry bookkeeping, and general ledger operations.
- Software Competency: Working familiarity with Microsoft Office applications, particularly Microsoft Excel for tracking data arrays and processing mathematical financial updates.
- Analytical Aptitude: Strong numerical accuracy, sharp attention to detail, and a logical approach to problem-solving and account matching.
- Interpersonal & Communication Skills: Excellent written and verbal English communication abilities, with the diplomacy needed to handle sensitive debt collection conversations.
- Personal Attributes: A proactive, team-oriented individual possessing strong organizational habits and the capacity to operate effectively under structured deadline cycles.
