Operations Assistant

Job Summary

The Operations Assistant supports day-to-day company activities, tracks staff attendance, and audits on-time order fulfillment. This professional manages fleet vehicle maintenance, coordinates procurement to keep stock levels balanced, designs new standard operating procedures (SOPs), monitors staff presentation at remote branches, and enforces occupational health and safety guidelines.

Key Roles & Operational Responsibilities

1. Daily Fleet Logistics & Inventory Governance

• Fleet Administration: Oversee the company’s vehicle fleet, ensuring all distribution assets are in excellent mechanical condition, properly serviced, and physically presentable.
• Stock Optimization: Monitor supply levels continuously to ensure sufficient stock is available to meet daily market demands, assisting with vendor purchases when deficits are identified.
• Fulfillment Auditing: Trace the lifecycle of customer orders, checking that distributions go out on time and immediately reporting shipping or logistics delays to the Operations Manager.

2. Personnel Supervision & Remote Branch Accountability

• Workforce Tracking: Monitor daily staff attendance logs and report attendance discrepancies, unexcused leaves, or scheduling gaps to management.
• Distributed Monitoring: Audit field staff, including employees stationed at remote upcountry branches, to ensure they carry out their assigned duties and maintain excellent physical presentation.
• Team Development: Assist the Operations Manager in leading on-site personnel, delivering guidance, training modules, and growth tracks to build a results-oriented culture.

3. Process Engineering & Safety Compliance

• Workflow Creation: Design, document, and implement clear workflows where no standard operating procedure (SOP) currently exists, while continually optimizing existing systems.
• Meeting Engagement: Participate in weekly operational meetings to analyze performance metrics, address structural bottlenecks, and propose business updates.
• Health & Safety: Enforce strict adherence to corporate health, safety, and environmental (HSE) policies to maintain a zero-harm working environment.

Foundational Capabilities & Prerequisites

Required Technical Profile & Experience

• Academic Foundation: Bachelor’s degree in Business Administration, Operations Management, Logistics, or a related quantitative commercial discipline from an accredited institution.
• Experience Baseline: Minimum of two (2) years of progressive, verifiable experience in an operations assistant, fleet coordination, or business logistics role.
• Fleet Familiarity: Direct experience tracking a commercial vehicle fleet, with basic knowledge of mechanical diagnostics and vehicle preventative maintenance preferred.
• Software Competency: Advanced operational proficiency within the Microsoft Office Suite (specifically Excel for data logs, Word, and PowerPoint).
• Soft Skill Inventory: Exceptional written and verbal English communication tools, paired with strong multitasking habits and precise time management skills.
• Problem-Solving Paradigm: Excellent analytical and strategic thinking skills, with a proven ability to stay organized and detailed in a fast-paced environment.
