Stores & Inventory Controller

Job Summary

The Stores & Inventory Controller logs incoming warehouse stock against commercial invoices, monitors stock levels across regional branches, and administers data entry within the Cylinder Management System. This professional controls daily asset dispatches, recovers company equipment from customer sites, audits storage security frameworks, and generates inventory velocity reports to optimize supply chains.

Key Roles & Operational Responsibilities

1. Stock Management & Cross-Branch Governance

• Inbound Auditing: Receive, inspect, and verify all incoming inventory, bulk goods, and raw accessories arriving at the central warehouse and LPG storage depot.
• Discrepancy Resolution: Cross-reference physical stock counts meticulously against commercial invoices and purchase logs to isolate, document, and resolve supplier discrepancies.
• Field Stock Audits: Conduct regular physical site visits to evaluate inventory balances across all regional branches, preventing field delivery delays and maintaining high operational efficiency.

2. Cylinder Management System Administration

• Data Architecture: Populate and update the digital Cylinder Management System continuously with exact refilling values, tare weight records, and lifecycle data.
• Movement Tracking: Track the real-time logistics movement of cylinders as they transition through filling stations, transport trucks, branch stores, and consumer lines.
• Replenishment Safeguards: Oversee and automate replenishment workflows to guarantee constant cylinder availability, completely preventing downstream product stockouts.
• Controlled Dispatch: Supervise daily dispatches of gas cylinders, secondary stock, and operational assets strictly according to established corporate procedures.

3. Asset Management, Security & Compliance

• Asset Recovery: Coordinate and execute the formal collection of company assets, including commercial gas cylinders, directly from customer locations during field visits.
• Integrity Maintenance: Verify that all company storage assets are maintained in peak condition, arranged safely, and protected by secure locking mechanisms.
• Authorization Governance: Implement and strictly enforce internal approval workflows to stop unauthorized stock issuances, gatekeeping warehouse reserves.

4. Reporting & Supply Chain Optimization

• Record Maintenance: Maintain detailed, real-time digital databases tracking stock balances, warehouse transactions, and specific inventory shifts.
• Analytics Reporting: Generate regular, comprehensive reports on stock velocity, turnover margins, and storage efficiencies, highlighting areas for structural optimization.
• Executive Briefings: Prepare and submit highly accurate, data-verified status updates to senior management teams as requested.

Foundational Capabilities & Prerequisites

Required Technical Profile & Experience

• Academic Foundation: Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or a related quantitative commercial discipline.
• Experience Baseline: Proven, successful experience working directly within a warehouse, inventory control room, or logistics terminal role (exposure to LPG, chemical, or FMCG industrial distribution channels is a major asset).
• Systems Technicality: Practical experience using specialized inventory control databases, warehouse management systems (WMS), or dedicated cylinder tracking applications.
• Software Competency: Strong functional proficiency with Microsoft Excel for building balance logs, alongside general data entry and report-writing skills.
• Logistics Mobility: Readiness to travel regularly to various upcountry branch offices and client sites to conduct field inventory validations.
• Operational Persona: High attention to detail, strong problem-solving skills under pressure, and absolute professional integrity regarding asset governance.
